Top 11 Questions to Ask on a Hotel Site Visit

Headed to a site visit for your next corporate meeting or incentive travel program?

Here’s a quick list to print off as a guide for some of those questions you don’t want to forget to ask!

  1. What is the occupancy rate for the hotel right now? (This will help give you an idea what it will be like during your program and how the hotel and restaurant/shopping outlets handle that number of guests)
  2. What is the hotel’s emergency plan in regards to natural disasters? Also, have the hotel include information regarding the nearest hospital and pharmacy.
  3. What is the guest to the hotel staff ratio?
  4. What is the availability of cabs and transfer time to get downtown or to the local entertainment district?
  5. What is the WiFi availability like on the property, and is it the same connection for all areas (sleeping room, lobby, pool, meeting space)?
  6. What are the restaurant hours and availability during our program dates?
  7. Will there be any construction taking place during or before our program?  If so, what will it be, and how will it impact our program?
  8. Does the hotel offer any hotel reward programs or benefits the client or attendees can take advantage of?
  9. Does the hotel have preferred vendors?  If so, it is beneficial to schedule time to meet with them during the site visit.
  10. Will there be other groups in-house during our program that will be competitors or have a conflict of interest?
  11. Will there be any other groups in-house during our program dates whose meeting space proximity could cause noise issues?

A couple of bonus questions below can be especially helpful for incentive travel programs:

  1. What welcome amenities does the hotel offer that could be tailored to our group and attendees?
  2. Does the hotel have any complimentary activities or water sports?
  3. Does the hotel have onsite golf and spa?  If so, how many holes for golf and how many spa treatment rooms?
  4. Is there any hotel or local restrictions that could affect our program events (i.e., blue laws, noise ordinances, etc.)?
  5. Does the hotel have any complimentary linens or décor available?
