Rain or shine, the show must go on. What was once a forecast of clear skies in Cancun had suddenly turned unpredictable, with scattered showers threatening to derail client expectations our perfectly curated outdoor dinner experiences. For smaller groups, moving indoors is a quick fix. But for a large event, the decision must be made at least a day in advance—giving crews time to relocate décor, tables, lighting, and everything in between.
Fortunately, proactivity and flexibility are in Brightspot’s DNA. Armed with backup plans, creativity, and a commitment to delivering an unforgettable experience, we were committed to making sure the event went off without a hitch.
After consulting with the client, our team sprang into action. Coordination was key – we immediately informed the hotel, décor teams, and entertainment vendors of the updated plan to move our events indoors. Each venue was walked with our team of vendors, allowing time for us to talk through floorplans, food and beverage service, entertainment, and the guests’ experience. We made sure not detail was overlooked.
Thanks to our mobile app, communication to the guests was seamless. With a few quick updates, the new locations appeared on everyone’s agendas, and push notifications went out alerting attendees of the change. The transition was smooth – both dinners went off without a hitch! And, despite the storm outside, the experience remained nothing short of spectacular.
