This incentive program brought 224 attendees from across North America to Grand Velas Los Cabos for a 4-night, 5-day experience designed to reward the achievements of the top-performing dealers. While the program shifted from its original plan, the goal stayed the same: create a meaningful, high-impact experience that made attendees feel recognized and valued.
We focused on delivering quality over quantity, building a program filled with intentional moments. From being welcomed with shopping experience in a vibrant Mexican market to a hidden ice cream speakeasy and two standout group dinners, every detail was designed to leave a lasting impression. Flexible activity options gave attendees the freedom to personalize their experience, while thoughtful gifting and cohesive branding tied the entire journey together.

Midway through planning, the program faced a significant budget reduction. This required a change in destination, one less night on the trip, and fewer offsite options than originally planned.
When plans shift, expectations don’t – and these changes created real pressure. Expectations had already been set with attendees, and the experience still needed to feel premium despite tighter constraints. On top of that, on-site execution brought its own challenges, including inventory management issues during the Mexican market welcome experience.
We approached the challenge by refocusing and refining, not scaling back on the overall experience. By leveraging strong supplier relationships and making strategic design decisions, we protected the moments that mattered most.
We introduced high-impact, experience-driven elements that elevated the program without increasing cost. The Mexican market arrival created an immersive first impression, while the ice cream speakeasy added a layer of surprise and playfulness. Two thoughtfully designed group dinners anchored the program with memorable shared experiences.
Creative assets also played a key role. Enhanced pre-trip materials, “wow” on-site signage, and personalized gifting, like custom glass hearts and framed event photos, ensured attendees felt recognized at every touchpoint. Even when small challenges arose, our on-site team adapted quickly, keeping the experience seamless for guests.
The result was a program that delivered on its purpose – it proved that meaningful experiences don’t depend on excess, they depend on execution.
